Privacy Policy
Effective September 29, 2026
The simple version
Your information, in plain words
- We ask only for what we need to run a free ministry library: who you are, how to reach you, roughly where you are, and how many children you serve and their age range.
- We never ask for children’s names, and accounts are for adults only.
- We never sell, rent or trade your information, and we do not use advertising trackers.
- You can change your details on your Account page, stop our announcement emails from the unsubscribe link in any announcement, and ask us to erase your account.
1. Who we are
The Fletcher Ministry Library at adventurewithfletcher.com/portal (the “Library”) is run by Seven Spirits Studios LLC (“we”, “us”, “our”), the maker of Adventure with Fletcher™. Seven Spirits Studios LLC operates in Colorado and Alabama, USA. This policy explains what we collect when you use the Library, why, and the choices you have. For any privacy question or request, email hello@adventurewithfletcher.com.
2. What we collect
When you register or edit your account
- Whether you are registering as a church or ministry or as a family.
- Contact name, church or family name and, for churches, your role (for example, Children’s Pastor).
- Email address and, only if you choose to give it, a phone number.
- City, state or region, and country.
- The number of children in your ministry or family and their age range. We never ask for children’s names or any other detail about an individual child.
- How you heard about Fletcher, if you tell us.
- Your password, stored only as a one-way scrambled code (a “hash”). Nobody here can read it.
- The date you agreed to our Terms and this policy.
When you use the Library
- An activity log with the date and time of: your registration; each log-in and log-out; each episode you open; each resource and reward you download or print; each password reset; and each time you unsubscribe from (or re-subscribe to) announcements. You can see your episode, download and reward activity on your Account page.
- Your last log-in date and how many times you have logged in.
- With each activity entry: a short scrambled code made from your internet (IP) address using a salted one-way hash — we store the code, not the IP address itself. This code is pseudonymous, not anonymous: someone holding both our database and our secret salt could work out which address produced it. Separately, we store your browser and device description (the “user agent” text your browser sends with every request) as it was sent. We use these to spot abuse such as password-guessing.
- Short-lived security records of log-in, registration and password-reset attempts (also keyed to the hashed code), and password-reset links, which are stored only as scrambled codes.
- A record of emails the Library sends to you (the address, subject, date and whether it was delivered) and, if you unsubscribe, your address on our do-not-email list.
- Notes our team adds to your registration to help look after your account.
We do not collect payment details, government ID numbers, precise location, or anything from your contacts or social media accounts.
3. How we use it
- To create your account, log you in, and give you the episodes and resources.
- To show you your activity, “New” episodes and where you left off.
- To understand, in total, which episodes and resources help churches and families most, and plan new ones.
- To send the emails described in section 4.
- To keep the Library safe, stop abuse and fix problems.
- To enforce our Terms of Service and meet legal duties.
We do not sell your personal information, we do not share it for targeted (cross-context behavioral) advertising, and we do not use it for profiling that has legal or similarly significant effects on you.
4. Emails we send
- Account emails: a welcome note when you register, and password-reset links you ask for. These are part of having an account.
- Release announcements: now and then, news when new episodes, lesson plans or resources are released. Every announcement has an unsubscribe link: it opens a page with a “Yes, unsubscribe me” button. Most mail apps also show their own built-in unsubscribe button, which works too. We honor it right away (US law allows up to 10 business days). You will still get account emails you ask for, such as a password reset.
- Announcements identify us as the sender, have honest subject lines, and include our postal mailing address in every message, as the US CAN-SPAM Act requires. The Library will not send an announcement until that address is set.
- Emails are sent from our own mailbox through our web host. We do not add tracking pixels or track whether you open our emails. Episode pictures inside an announcement load from YouTube or Vimeo when your email app shows them.
5. Who we share it with
- Our team: the small Seven Spirits Studios LLC team who run the Library can see registrations and activity to support you. New registrations may be emailed to that team.
- Our web hosting company, which stores the Library and its database and carries its email, only to provide that service to us.
- When the law requires it, or to protect the safety of children, our users, the public or us.
- If the ministry changes hands: if Adventure with Fletcher or Seven Spirits Studios LLC is merged or transferred, your information may move to the new owner under this policy.
That’s all. We never sell, rent or trade your information, and we never give it to advertisers.
6. Cookies and outside services
- The Library sets one cookie: a session cookie that keeps you logged in and protects our forms. It cannot be read by page scripts, is sent only over a secure (HTTPS) connection on the live site, and is removed when you close your browser. We use no advertising or analytics cookies.
- Episodes open on YouTube or Vimeo. When you go there, those services set their own cookies and collect information under their own policies (Google Privacy Policy, Vimeo Privacy Policy).
- To show episode pictures and our fonts, your browser loads them directly from YouTube, Vimeo and Google Fonts. Like any web request, this shares your IP address and browser details with those companies. Our Facebook and YouTube buttons are plain links; nothing is sent to them unless you click.
7. How long we keep it
- Your account details and activity log: for as long as your account is open, so the Library keeps working for you.
- Records of emails sent to you: kept while your account is open, until you ask us to erase your account (see section 11).
- Security records of log-in and registration attempts: about one day. Password-reset links stop working after a short time.
- When you ask us to erase your account, we follow section 11.
- If you unsubscribe, we keep your email address on our do-not-email list for as long as your account is open, so you do not get announcements. When your account is erased, the address is removed from that list along with everything else.
8. How we protect it
We use reasonable safeguards, including: a secure HTTPS connection; passwords stored only as one-way hashes; a session cookie scripts cannot read; protection against forged form submissions; limits on repeated log-in attempts; IP addresses kept only as salted scrambled codes; and a database kept outside the part of the server that the web can reach, with downloads served only to logged-in users.
No system is perfectly secure. If a security breach affects your personal information, we will notify you as the law requires — including under Colorado’s breach-notice law (C.R.S. § 6-1-716) and the Alabama Data Breach Notification Act of 2018 (Ala. Code § 8-38-1 et seq.).
9. Children’s privacy
Fletcher’s episodes are made for children, but the Library’s accounts are for adults only (18+). Parents, guardians and ministry leaders register and share the resources with children.
We do not knowingly collect personal information from children under 13, the age the US Children’s Online Privacy Protection Act (COPPA) covers, and we ask only for the number and age range of the children you serve, never their names. If you believe a child has registered or given us information, email hello@adventurewithfletcher.com and we will erase it.
10. Your rights and choices
Wherever you live, you can ask us to:
- Access / get a copy of the personal information we hold about you, in a common, portable format.
- Correct it. You can also edit most details yourself on your Account page.
- Erase it (see section 11).
- Stop announcement emails using the unsubscribe link in any announcement, or by asking us.
Email hello@adventurewithfletcher.com from the email address on your account. We may need to confirm it is really you before we act. We answer within 45 days and will not treat you differently for using these rights. Requests are free.
11. Erasing your information
- Email hello@adventurewithfletcher.com with the subject “Erase my Fletcher account”, from the email address you use to log in.
- We confirm the request and may ask you to verify it is you.
- Within 45 days we erase your account. We send you our confirmation just before we erase it, because afterwards we no longer have your email address.
What erasing removes: your account and personal details — contact name, church or family name, role, email address, phone, city, state and country, the number and age range of your children, how you heard about us, our notes, your password and any password-reset links — and your address on our do-not-email list.
What stays, without you in it: past activity entries (for example, “an episode was opened on this date”) are kept only as anonymous totals: they are unlinked from you, and the stored IP code and browser/device description are cleared. Records of emails we sent are kept with the address replaced by “erased”. We also keep a note that an erasure was completed (without your details) and anything the law requires us to keep.
Copies in our backups are removed as those backups are replaced over time. Printouts you already made are yours to keep and use under our Terms.
12. Colorado and Alabama residents
Seven Spirits Studios LLC operates in Colorado and Alabama. We give residents of both states the rights below whether or not a state privacy law technically applies to a free library of our size.
Colorado
The Colorado Privacy Act (C.R.S. § 6-1-1301 et seq.) applies to organizations that handle the personal data of 100,000 or more Colorado consumers in a year, or of 25,000 or more while earning revenue or discounts from selling personal data. Based on the Library’s size, and because we never sell personal data, we believe those thresholds likely do not apply to us today — but we honor these rights for Colorado residents anyway:
- Access — confirm whether we process your personal data and see it;
- Correction — fix inaccurate personal data;
- Deletion — have your personal data deleted;
- Portability — get a copy in a portable, readily usable format;
- Opt out — of the sale of personal data, targeted advertising, and profiling in furtherance of decisions that produce legal or similarly significant effects.
We do none of the things you can opt out of, so there is nothing to switch off today; you may still send an opt-out request, and we will honor it and any browser opt-out signal (such as Global Privacy Control) if our practices ever change.
Alabama
Alabama’s Personal Data Protection Act (HB 351) was signed in April 2026 and takes effect on May 1, 2027. It covers businesses that process the personal data of more than 25,000 Alabama consumers, or earn more than 25% of their revenue from selling personal data, and it exempts many small businesses and nonprofits that do not sell personal data, so we expect it will likely not apply to the Library — but we give Alabama residents the same rights listed for Colorado above, starting now. Alabama’s Data Breach Notification Act of 2018 (Ala. Code § 8-38-1 et seq.) already applies, and we will notify affected Alabama residents of a qualifying security breach as that law requires.
How to make a request
Email hello@adventurewithfletcher.com with the subject “Privacy request”, say which right you are using, and send it from the email address on your account. We verify your identity using information we already hold and respond within 45 days; if we need more time (up to 45 more days, where the law allows) we will tell you why. Requests are free. You may use an authorized agent to opt out for you.
Appeals
If we decline to act on your request, you can appeal: reply to our decision, or email hello@adventurewithfletcher.com with the subject “Privacy appeal”. We answer appeals in writing within 45 days and explain our decision. If you are not satisfied with the result, Colorado residents may contact the Colorado Attorney General at coag.gov, and Alabama residents may contact the Alabama Attorney General at alabamaag.gov.
13. Changes to this policy
We may update this policy. We will change the effective date at the top of this page, and if a change is significant we will tell registered users by email or on the Library before it takes effect. Continuing to use the Library after a change means you accept the updated policy.
